AI for logistics: less retyping, more control.
Logistics teams spend hours on ‘where is my shipment’ calls, manual order entry and planning changes. AI answers status questions 24/7, processes orders and documents, and takes pressure off your planners.
Sound familiar?
Where transport companies lose hours
The phone is red hot
‘Where is my shipment?’, delivery windows, invoice status — the same questions all day, while your planners have real work to do.
Manual order entry & paperwork
Orders arrive by email, PDF and Excel and are retyped by hand. CMR consignment notes and PODs pile up — error-prone and slow.
Planning chaos with every change
A delay or route change means calling round: customers, drivers, the warehouse. Nobody gets informed automatically.
Less retyping, control over exceptions
Automated order entry with AI for transport companies
Does a transport order arrive by email, PDF or spreadsheet? Utomatic can extract, check and prepare the data for your transport management system (TMS). Your planner sees missing information and decides how to handle exceptions. We start with draft orders; automatic processing follows only for agreed, tested scenarios.
1. Extract
Identify customer reference, collection and delivery addresses, date, time window, pallet count and weight. Keep the source available for a planner to check.
2. Validate
Check mandatory fields, units and possible duplicates. Conflicting data or unreadable documents go to a team member; AI does not invent missing values.
3. Transfer
After approval, create a draft order through an authorised integration. Record the status and send confirmation only after the receiving system confirms it was saved.
Example: an order with a missing delivery address
Fictional scenario: a customer emails a PDF for six pallets, but the delivery address is missing. The workflow flags the missing field and drafts a question for the customer. The planner reviews that message. Only after completion and checking is the draft order sent to the TMS. This is a process example, not a live integration on this page.
What does your TMS or WMS integration require?
We check API access, licence terms, write permissions and field mapping with your supplier. Without an API, we explore a supported import or a controlled manual handover. A suitable dashboard shows draft orders, errors and queues; it does not simply replace your existing planning.
Measure one order workflow
Start with one mailbox, one document type and one customer group. Measure manual minutes per order, correctly prepared drafts, correction work and total cost. A fictional example: 400 orders × 3 minutes of net time saved equals 20 hours per month. That is potential capacity, not guaranteed cost savings. Use your own baseline to assess a pilot.

What AI does for your operation
Automate agreed routine tasks; planners review exceptions and approve consequential actions.
AI voice agent for track & trace
Answers every call about shipment status, delivery windows and trip requests — 24/7, no queue at your customer service.
More about the AI voice agent →Chatbot for your customer portal
Customers check the status of their shipment via chat on your website or portal, request quotes and get instant answers — day and night.
Email agent for order processing
Reads incoming orders, CMR consignment notes and PODs (OCR), extracts the data and puts it straight into your TMS or Excel — no retyping.
More about the AI email agent → See the automated order-entry workflow →RPA for planning admin
Repetitive admin around trip planning, capacity and appointments runs automatically, so your planners plan instead of type.
Proactive status updates
Automatic notifications for delays, deliveries and exceptions. Customers are informed before they call you.
Connects to your systems
We verify API access, permissions and supported import options for your TMS or WMS. We agree which actions and outcomes are logged.
How it works
Live in three steps
Intake & connect
We map your calls, orders and documents and connect your TMS, email and Excel.
Build & train
We train the agent on your trips, rates and processes — with weekly demos.
Live & optimise
Start with the agreed workflow after acceptance tests. Monitoring, support and further improvements follow the agreed scope.
“The status calls dried up: customers now get their answer instantly, and our planners finally plan again instead of picking up the phone.”
FAQ
Questions from logistics companies
Can the AI connect with our TMS or WMS?+
That depends on your supplier, licence and API permissions. We confirm the required read and write actions before agreeing the integration and price.
Does the AI work in multiple languages for international transport?+
Yes — Dutch, English, German, French and 40+ other languages. Ideal for cross-border transport and international customers.
How does the AI handle exceptions and urgent issues?+
For complex situations or urgent problems it escalates automatically to the right employee, with the full context attached.
How quickly are we live?+
We plan a narrowly scoped pilot after checking access and test data. Integration work, exceptions and your team’s feedback determine the delivery schedule.
What does it cost?+
You start with a fixed-price pilot, so you know exactly where you stand. All packages are on our pricing page.
