Calls & appointments

Voice agent for enquiries and appointments

A workflow design for phone intake, calendar checks and a callback route when a person is needed.

Workflow design: this page describes a possible setup, not measured customer results or a live production integration. We agree feasibility, data use and acceptance criteria for your situation in advance.

  • Record request and contact
  • Check availability
  • Agree a callback route

Recognisable manual work

Situations this workflow design is intended to address.

  • During busy periods or outside agreed hours, the team may not be able to answer every call.
  • Recording a name, request and appointment involves repeated steps.
  • Unclear availability or an incomplete handover can create extra work.

How the solution can be designed

Possible components, depending on your systems, access and agreed scope.

  • Have an assistant answer at times agreed with the phone provider.
  • Answer agreed questions only and carefully capture the required contact details.
  • Check availability through a suitable calendar integration and confirm only after a successful booking.
  • Use a callback request or supported transfer when uncertain, during a failure or for questions outside the scope.

The proposed workflow

The process in four steps.

1

Greet

The agent introduces itself as a virtual assistant and asks how it can help.

2

Capture

Ask for the appointment type and required details, then read back unclear information.

3

Check

Check available times and book only after consent and a valid calendar response.

4

Follow up

Show the outcome or callback task. Transcription and recording are agreed separately.

What we test and measure before launch

We agree success criteria in advance. Outcomes must be demonstrated in your process, including review and rework.

Conversation quality

Test pronunciation, interruptions, email addresses and phone numbers with representative scenarios.

Booking and fallback

Test duplicate bookings, calendar failures and the callback route. A spoken promise is not enough to prove a booking.

Data and access

Agree recording rules, retention, permissions and human handover before launch.

What we need to check first

Requirements and agreements for a feasible proposal. A mentioned system is not automatically connected.

Which manual task would you remove?

Discuss one recurring task in a free 30-minute call. We map the process, required access and a sensible first step. Do not share passwords or sensitive customer files.
